FleetHQ replaces the spreadsheets, inboxes and paper forms holding your fleet together. Built for Australian transport, construction, mining and service operations that cannot afford downtime.
Most fleets are not short of data. They are short of one place to put it. The cost shows up as downtime, failed audits and managers doing administration instead of running operations.
01
The record is spread across five systems
Registrations in a spreadsheet, services in an inbox, defects on paper, inductions in a shared drive. Nobody can answer a simple question about one truck without opening four tabs.
02
Compliance gets reconstructed after the fact
Evidence is assembled the week an audit lands, not captured as work happens. Gaps only surface when they are expensive.
03
Defects are found too late
A driver notes a fault at 5am. It reaches the workshop after lunch, or after the breakdown. The cost is the tow, the missed run and the reallocated driver.
04
Admin absorbs the day
Fleet and workshop managers spend their week chasing signatures, re-keying forms and reminding people about due dates that a system should already be tracking.
05
Cost is invisible until year end
Maintenance spend per asset, cost per kilometre, the trucks quietly consuming the budget — none of it is visible while there is still time to act.
The platform
One system, from the yard to the board pack
FleetHQ covers the four jobs that decide whether a fleet runs well: knowing what you own, checking it, fixing it, and proving it.
One record per asset
Every vehicle and trailer carries its full history in one place — registration, servicing, defects, documents, costs and the people assigned to it.
One centralised asset register
Documents with expiry tracking
Full lifecycle history
Inspections done in the cab
Pre-starts and inspections are completed on a phone or tablet in under two minutes, with photos attached and no signal required.
Configurable checklists
Photo and note capture
Works with no reception
Maintenance and tracking made easy
Keep every service, defect and workshop job against the asset it belongs to, so maintenance history stays in one place and nothing is lost in an inbox.
Track what is due by distance, hours or date
Defect to job card in one step
Workshop queue and full service history
Compliance evidence, always current
Licences, inductions, accreditations and inspection records stay current, with alerts before expiry and a complete audit trail behind every record.
Expiry alerts by role
Immutable audit trail
Export an audit pack on demand
Capabilities
Everything a fleet needs, and nothing it does not
Sixteen capabilities, four jobs. No modules to buy separately, no per-seat charge for putting a driver on the system.

Rego, VIN, finance, odometer and cost history on one record.
Driver management
Licences, inductions, assignments and competencies per person.
Document storage
Versioned files against any asset, driver or site, with expiry dates.
Role permissions
Granular access by depot, region, business unit or job function.
Maintenance
Maintenance scheduling
Plans driven by odometer, engine hours or fixed intervals.
Service reminders
Escalating alerts to the owner, the workshop and the manager.
Defect reporting
Severity-rated defects that create job cards automatically.
Workshop jobs
Parts, labour, downtime and supplier invoices tracked per job.
Compliance
Digital inspections
Pre-start, trailer, plant and site checklists you configure.
Compliance tracking
Accreditation obligations tracked against evidence, not memory.
Audit trail
Every change stamped with who, what and when. Nothing is silently edited.
Australian focused
Built and supported in Australia, for how Australian fleets actually operate.
Insight and access
Reporting
Scheduled reports to a board pack, a depot manager or an auditor.
Offline support
The mobile app captures work with no signal and syncs when it returns.
Mobile ready
A layout built for a phone in the cab, not a desktop screen squeezed down.
Tablet ready
A workshop-tablet layout for job cards, parts and sign-offs.
Scale
From one asset to ten thousand
FleetHQ is built to grow with your operation. Whether you run a single vehicle or ten thousand assets across depots, regions and business units, the same platform scales with you — no rebuild and no migration as your fleet grows.

Why FleetHQ
Enterprise underneath, obvious on the surface
The hard parts of fleet software are the ones nobody demos: offline reliability, permissions across depots, and staying fast once the register passes ten thousand assets.
Built for Australian operations
Designed and supported in Australia, for the way Australian fleets actually run — long distances, remote sites and local ways of working — not an overseas product with a local coat of paint.
Genuinely offline
The mobile app is offline-first by design. Work captured in a pit, a tunnel or out on the Nullarbor is stored locally and reconciled on reconnect without duplicates.
Enterprise architecture
Multi-entity, multi-depot and multi-region from day one, with single sign-on, SCIM provisioning and role-based access across the whole organisation.
Fast enough to use daily
Sub-second navigation across fleets of ten thousand assets. Software people avoid is software that ends up back on paper.
Secure by default
Data held in Melbourne, encryption in transit and at rest, enforced least-privilege access and a complete audit log across every record.
Adopted without training
Drivers complete a pre-start on their first attempt with no instruction. Rollout is measured in days, not quarters.
Uptime commitment

Questions
What procurement usually asks
If something here is not covered, our team will answer it directly rather than send you a brochure.
In an Australian data centre in Melbourne. Data is encrypted in transit and at rest, backups are tested regularly, and we can provide our security documentation during procurement.
How is FleetHQ priced?
Simple and straightforward: per asset, per month. Every plan includes unlimited users, the mobile app, offline capture and support — you are never charged more for putting a driver or a mechanic on the system. High quality software at a price that suits a working fleet.
Do you take credit cards?
Yes. Paying is simple and straightforward — card or invoice, whichever suits your business. No lock-in setup fees and no surprises on the bill.
How hard is it to set up?
Extremely easy — you do it yourself, no consultant required. Import your asset register straight from a spreadsheet, then set up your checklists and permissions to match how you already work. Most fleets are up and running quickly, without a drawn-out project.
Does it integrate with our telematics or finance systems?
Not at this stage. FleetHQ is a standalone system today — you keep it current directly, for example by entering odometer or engine hours as part of a pre-start. Telematics and finance integrations are on our roadmap; tell us what you use and we will factor it in.
What happens when a driver has no reception?
The mobile app is offline-first. Checklists, defects, photos and signatures are captured on the device and synced when a connection returns. Conflicts are resolved server-side, so nothing is duplicated or silently overwritten.
What support do we get?
Australian-based support on every plan. You talk to people who understand fleets, not an offshore ticket queue.
How do we get started?
Get in touch and we will show you how FleetHQ works on your own fleet. Setting it up yourself is quick and easy — no trial to expire and no obligation, just a straightforward way to start saving time.
